Certified ECE Translation

ECE issues several report types, each suited to a different purpose. Choosing the right one matters because some destinations require a course-by-course breakdown while others only need a degree-level equivalency.

The General report sets out the US equivalent of each credential without listing individual courses or grades, suitable when an institution or board only needs the degree level confirmed. The Course-by-Course report adds a complete course list, credit hours, grades, and a calculated GPA, and is ECE's most-ordered product. Specialized reports include reports for healthcare workers educated overseas, plus state-specific reports for cosmetology and barber licensing in a small number of US states.

From a translation standpoint, the report type affects what to translate but not the standard of translation. A General report still requires translation of the diploma and any documents needed to confirm the credential type. A Course-by-Course report requires translation of the full transcript, every grading legend, and any reverse-side text that lists course codes or grade keys. Confirm with your receiving institution which ECE report they require, then match the translation scope to that report.

ECE does not run a single global checklist. Each country page on the ECE Documentation Requirements site sets out the exact documents and submission method that apply to credentials issued in that country. Some countries require sealed-envelope copies, others require original documents, and others accept direct institutional senders. The country page also says when translation is needed.

Two ECE-specific exceptions catch applicants out. First, IB diplomas: regardless of where you took the IB programme, ECE applies Switzerland documentation requirements, because the IB is administered from Geneva. Second, UK exam boards: if you took GCSE, IGCSE, A-Level, or Cambridge International qualifications outside the UK, ECE applies United Kingdom documentation requirements, because the issuing exam board is UK-based, not the country where you sat the exam.

Common country patterns we translate every week include Indian mark sheets and consolidated degree certificates, Chinese degree certificates and academic record (xueli) documents, Brazilian Histórico Escolar with Diploma de Graduação, Mexican Certificado de Estudios with Cedula Profesional, Spanish Expediente Académico, French Relevé de Notes, German Abiturzeugnis and Diploma Supplement, and African secondary-school certificates from national exam boards. Handwritten and pre-digital academic records remain common, particularly for graduates from older cohorts and from countries where universities digitized late. ECE evaluates these under the same standards as fully typed records, but legibility is the practical constraint, especially because ECE evaluators may contact the issuing institution to verify the document.

Frequent sources of handwritten or older records in our ECE work include older Indian state-university mark sheets and consolidated marks statements, mid-century European university transcripts, Latin American diploma certificates with calligraphic registrar entries, and African secondary-school certificates from before national exam boards moved to printed templates. Our translators include specialists in each of these handwriting traditions and academic systems.

For best results, scan at 300 DPI or higher in even lighting, with the full document visible to the edges. If specific entries cannot be confidently read, the translator marks them as illegible with a translator's note rather than guessing. Guessing at handwritten entries creates mismatches when ECE compares the translation against the source or against the verification response from the issuing institution.

Age, poor storage, water damage, and handling wear all degrade transcript and diploma legibility over time. We translate what is clearly visible and mark genuinely unreadable portions with explanatory notes. The translator never guesses or fills in missing content, because ECE may verify the translation against the source and against a response from the issuing institution.

Before ordering translation, check whether a fresh certified copy is available from the issuing university or examination board. Most institutions can produce a duplicate transcript or replacement diploma, often the cleaner path for ECE submissions, particularly because some countries' ECE requirements call for original documents or sealed-envelope copies that a damaged copy will not satisfy.

When translation from a damaged document is the only option, upload the clearest possible scan including all visible portions, edges, stamps, and grade-scale tables. If we cannot confidently produce a complete translation, we contact you before charging and discuss alternatives. ECE's institutional verification process can take additional time when documents are difficult to authenticate, so a clean source generally results in a faster evaluation.

The ECE Translation Waiver is an optional add-on that lets ECE translate your documents in-house for the purpose of preparing the evaluation report. It is a real convenience for some applicants and the wrong choice for others, depending on what else you plan to file.

The waiver works best for applicants whose only need is the ECE report and who do not expect to file the same translated documents elsewhere. The fee covers translation work used internally for the evaluation. You do not receive a separate, downloadable certified translation PDF that you can submit to USCIS, IRCC, UKVI, a university admissions office, or a state licensing board. If you later need a translation for any of those filings, you would still need to commission one separately.

The independent certified translation route works best for applicants whose foreign credentials will travel through more than one process. A single certified translation with a Certificate of Accuracy is reusable across ECE, USCIS petitions, IRCC profiles, US university admissions, and most state licensing boards. The cost is the same whether you use the translation once or six times. For most applicants planning multiple destinations, the independent route is the simpler and more economical choice.

An ECE translation reproduces what the source document says. It does not convert grades to a US 4.0 GPA, recompute totals, or substitute course names with US equivalents. Grade conversion is the ECE evaluator's job, not the translator's. Our translation includes the original grade scale exactly as it appears on the transcript so the evaluator can perform an accurate equivalence calculation.

This matters in practice because a translator who tries to be helpful by converting a percentage scale to a US 4.0 scale typically introduces errors that the evaluator then has to override. ECE applies its own equivalence methodology to each country's grading system, and locking in a converted GPA inside the translation creates a mismatch between the translation and the evaluator's calculation.

Name spellings often differ across academic and personal documents. A name written in Devanagari, Arabic, Cyrillic, or Chinese script has no single correct English spelling, and different documents may transliterate the same name differently. We render names exactly as they appear in the source. If you want a preferred passport spelling noted, we add it as a translator's note rather than altering the rendered name in the body of the translation. Name drift between transcript, diploma, and the ECE application file is one of the more common reasons ECE asks clarifying questions, so consistency across your full document set matters.

An ECE-compliant certified translation can typically be reused across multiple destinations. Because ECE applies a strict word-for-word standard with a Certificate of Accuracy, the same PDF you submit to ECE also meets the requirements that USCIS, IRCC, US universities, and most state licensing boards apply to certified translations.

Common reuse paths we see every week: a graduate-school applicant submits the translation to multiple universities and to ECE without re-translating per institution; an internationally educated nurse reuses the translation across the ECE Healthcare Compliance report, the state board of nursing, and the CGFNS file; an H-1B applicant uses the same ECE translation already accepted as supporting evidence in the petition; a Canadian-bound applicant reuses the translation for an ECE Canadian institution report and for IRCC filings.

Some practical exceptions apply. A small number of state licensing boards and specific scholarship bodies request a translation dated within a recent window. If a specific office asks for a recently dated translation, a fresh copy can be issued at no additional cost for any order we originally completed, and we keep your file on hand for the standard retention period so reissue is straightforward.

ECE translation revision requests follow predictable patterns. Files take longer to evaluate when the translation does not let the evaluator match the source quickly, or when ECE's institutional verification step takes longer than expected. Understanding what evaluators check helps applicants and consultants avoid avoidable delays.

The most frequent causes of ECE translation revisions or extended evaluation, in approximate order of frequency: missing or summarized course tables in the translation; the back-page grading legend not scanned or not translated; collapsed table layouts that the evaluator cannot match against the source; grades converted to a US 4.0 GPA inside the translation; missing institutional seals, registrar signatures, or stamps that are visible on the original; name inconsistencies across the diploma, transcript, and the ECE application profile with no explanatory note; and an incomplete, unsigned, or undated Certificate of Accuracy.
