Certified Academic Document Translation

The most common document-level rejection in academic credential evaluations is submitting an unofficial copy in place of the institution-issued original. Even a flawless translation cannot fix this, because evaluators verify both the source and the translation against the issuing institution's records.

An official transcript is issued and signed by the registrar (or controller of examinations) and bears the institutional seal. WES typically requires that the original is sent directly from the institution in a sealed envelope, sometimes through a digital partnership channel such as DigiLocker for Indian universities, or a notarial route for Chinese degrees. The certified translation accompanies that official document; it does not replace the institutional sender route.

Unofficial copies include student-portal printouts, photocopies without registrar attestation, and self-printed degree summaries. These are commonly used inside the institution but are not accepted by NACES evaluators or US universities for final admission. Confirm the document path with your evaluator or institution before ordering translation, so that the certified translation is paired with a document that will be accepted on its own terms.

Academic document formats vary widely across education systems. Our translators are matched to the country and education system of issue, so reviewing officers and evaluators see translations that mirror the original structure.

Common formats we translate every week include Indian mark sheets and provisional or final degree certificates issued by the Controller of Examinations, Chinese notarial degree certificates and academic record (xueli) documents, Brazilian Histórico Escolar from federal and private universities, Mexican Certificado de Estudios with Cedula Profesional, Spanish Expediente Académico, French Relevé de Notes, German Abiturzeugnis and Diploma Supplement, and International Baccalaureate (IB) diploma and transcript packets.

Older transcripts and diplomas, particularly those issued before institutional digitization, often differ from current formats. Pre-2000 records, handwritten margin entries, and typewriter-produced certificates are translated under the same certification standards. Handwritten and pre-digital academic records remain common, particularly for graduates from older cohorts and from countries where universities digitized late. We translate these under the same certification standards as fully typed transcripts.

Frequent sources of handwritten or older records in our work include mid-century European university transcripts, mark sheets from older Indian state universities, Latin American diploma certificates with calligraphic registrar entries, and African secondary-school certificates from before national exam boards moved to printed templates. Our translators include specialists in each of these handwriting traditions.

Legibility is the practical concern. We recommend a high-resolution scan (300 DPI or higher) in even lighting, with the full document visible to its edges. If specific entries cannot be confidently read, they are marked as illegible in the translation with an explanatory note. This is the approach evaluators expect and prevents downstream rejection on translation quality.

Age, poor storage, water damage, and handling wear all degrade transcript and diploma legibility over time. We translate what is clearly visible and mark genuinely unreadable portions with explanatory notes. The translator never guesses or fills in missing content.

Before ordering translation, check whether a fresh certified copy is available from the issuing university or examination board. Most institutions can produce a duplicate transcript or replacement diploma, often the cleaner path for WES or ECE submissions where document integrity is closely reviewed. For university admissions, a fresh institutional copy is generally faster than working from a damaged original.

When translation from a damaged document is the only option, upload the clearest possible scan including all visible portions, edges, stamps, and grade-scale tables. If we cannot confidently produce a complete translation, we contact you before charging and discuss alternatives.

An apostille is an international authentication stamp issued by the competent authority in the country where a document originates. Under the Hague Apostille Convention, an apostille certifies the signature and seal on a public document for use in other member countries. For academic documents, apostilles confirm that the registrar signature and institutional seal on a transcript or diploma are genuine.

Whether you need an apostille depends on the receiving authority. WES and ECE generally do not require apostilles when documents are sent through approved institutional sender routes. Some state licensing boards, foreign universities, and certain employer-sponsored evaluations do request apostilled academic documents. If your document carries an apostille, the apostille text itself must be translated into English alongside the academic document. Apostilles are typically printed in the language of issue plus French, per Convention requirements. We translate apostilles as part of standard academic orders at no additional charge.

A certified translation reproduces what the source document says. It does not convert grades to a US 4.0 GPA scale, recompute totals, or substitute course names with US equivalents. Grade conversion is the job of credential evaluators such as WES and ECE, not the translator. Our translation includes the original grade scale exactly as it appears on the transcript so the evaluator can perform an accurate equivalence calculation.

Name spellings often differ across academic and personal documents for the same person. A name written in Arabic, Chinese, Cyrillic, or Devanagari script has no single correct English spelling. Different documents may transliterate the same name differently, for example a passport using one spelling and a degree certificate another.

In a certified translation we render names exactly as they appear in the source document. We do not change spellings to match other documents held by the applicant. If you have a preferred passport spelling and want it noted, we can include a translator's note on the Certificate of Accuracy indicating the variations represent the same individual, while the translation itself preserves the source.

One certified academic translation can typically be reused across multiple applications. The same PDF submitted to one university can be referenced again with another institution, with a WES or ECE evaluation, with USCIS for an H-1B petition, with ECFMG for medical certification, or with IRCC for an Express Entry ECA. The Certificate of Accuracy is the element that makes the translation acceptable, not the specific destination it accompanies.

Some practical exceptions apply. A small number of state licensing boards, certain employer-sponsored evaluations, and specific foreign-government scholarships request a translation dated within a recent window. If a specific office asks for a recently dated translation, a fresh copy can be issued at no additional cost for any order we originally completed.

For international authorities including WES Canada, ICAS, IQAS, and ICES, certification standards align with the WES US standard. The same translation works across these evaluators, provided the Certificate of Accuracy meets the common requirements of translator competency, completeness statement, signature, and date.

Translation-related rejections on academic documents follow predictable patterns. Understanding what evaluators and admissions officers look for helps applicants and consultants avoid avoidable delays.

The most frequent causes of academic translation rejections, in approximate order of frequency: missing or summarized course tables when only a partial course list is rendered; an incomplete, unsigned, or undated Certificate of Accuracy; converting grades to a US 4.0 GPA inside the translation rather than reproducing the source scale; missing institutional seals or registrar signatures visible on the original; formatting that makes it hard to match the translation to the original page-for-page; and name inconsistencies across the diploma, transcript, and passport with no explanatory note.

Our translations are structured to avoid all of these. Every course, grade, and credit hour is rendered. The Certificate of Accuracy is typed, dated, signed, and includes the translator's full name and contact information. Grade scales are translated, not converted.
