Certified Financial Document Translation

Translation does not change what the source document is. If the underlying bank statement is not in a format the receiving authority accepts, a faithful certified translation will be returned along with the original. The format issue has to be fixed at source, not at translation stage.

UKVI Appendix FM-SE sets the most explicit standard. Bank statements must be on official bank stationery. As an alternative, electronic statements are acceptable if they are accompanied by a bank letter on headed stationery confirming authenticity, or if every page bears the official bank stamp. The most recent piece of financial evidence must be dated within 28 days of the application date, and a continuous series of statements is required (no missing months).

IRCC proof of funds guidance requires a separate official bank letter on financial institution letterhead containing contact details, account opening date, current balance, and average balance over the past six months, alongside the supporting statements. Self-printed online portal screenshots and partial extracts are explicitly insufficient under either standard.

USCIS Form I-864 requires the sponsor's most recent federal tax return or IRS transcript. When the sponsor or qualifying household member has filed taxes outside the US in any of the relevant years, the foreign tax return must be translated and accompany the affidavit. Common foreign tax documents we translate include Indian ITR forms with computation pages, UK SA302 self-assessment summaries and HMRC tax year overviews, Pakistani tax returns from the FBR with NTN details, Filipino BIR returns, and country-specific tax assessment notices. The translation reproduces every numerical entry, code, and classification on the source form.

Some authorities prefer transcripts (machine-readable summaries direct from the tax authority) over self-prepared returns. Where your country's tax authority issues an equivalent to the US IRS transcript, we recommend translating the transcript rather than the filed return. The transcript carries authority verification, similar to a bank stamp on a statement.

Employer letters and payslips together evidence the income side of the financial requirement for most visa applications. UKVI Appendix FM-SE is again the most prescriptive: payslips must be original formal payslips from the employer, or accompanied by a letter on company headed paper signed by a senior official confirming authenticity.

A valid employer letter typically confirms the employee's start date, current job title and gross annual salary, the employer's full address and registration details, and the period over which payslips have been issued. It must be on company letterhead and signed by a named senior person with their title and contact details.

Payslips should cover the relevant qualifying period (typically six months for UKVI Category A) without gaps, and the figures must reconcile with deposits visible on the matching personal bank statements. We translate each payslip as a structured table preserving every deduction, allowance, tax line, and net pay figure exactly.

Self-employed applicants and company directors are typically asked for full company financial statements. For UKVI Category F (specified limited companies), this means audited or accountant-certified annual accounts, profit and loss accounts, and corporation tax returns. For US EB-5 and E-2 investors, USCIS expects business registration documents, capital contribution evidence, and audited financial statements showing source of investment funds.

Auditor's reports usually contain country-specific terminology that does not translate one-for-one into US English. Indian Companies Act references, UK FRS standards, German HGB framework, and similar local frameworks are translated with explanatory notes where direct equivalents do not exist. We do not substitute IFRS or GAAP terminology unless the source document itself uses those frameworks.

For business loan applications with US lenders, foreign company financials are translated as full sets (auditor's letter, balance sheet, P&L, cash flow statement, and notes). Underwriters expect the same structure and order as the original. We preserve original page numbering and structure to make line-item review straightforward.

Currency amounts are reproduced exactly as they appear in the source document. We deliberately do not convert foreign currency to USD, GBP, or CAD inside the translation, because reviewing authorities use their own prescribed conversion rates and conversions baked into translations frequently mislead caseworkers.

UKVI uses OANDA spot exchange rates on the date of application for foreign currency conversions. IRCC uses the rate on the date the application is processed, which is typically weeks or months after submission. US lenders apply their own underwriting rates. A single conversion done at translation time will not match any of these and can cause confusion or RFEs.

What we do add are translator's notes for clarity. Where a currency is denoted by an unfamiliar symbol or three-letter code (for example PKR, NGN, INR, PHP), the note clarifies the currency name in plain English. Decimal separators that differ from US conventions (such as 1.000,50 in many European formats meaning one thousand point five) are also noted to prevent misreading.

Financial documents have a shelf life that civil documents do not. The same translated bank statement that was valid yesterday may be too old tomorrow. Understanding the recency windows that apply to your application prevents wasted submissions.

UKVI Appendix FM-SE requires that the most recent piece of financial evidence is dated no earlier than 28 days before the application date. This catches a surprising number of applicants who submit just outside the window. IRCC expects bank statements covering the most recent six months and current account standing on the date of application, with letters typically issued within the past 30 days. USCIS I-864 requires the most recent tax year's return; older years are optional supporting evidence.

Cash savings have an extra layer. To be counted toward the UKVI minimum income requirement, savings must have been held continuously for at least the last six months, and statements must demonstrate this continuous holding. IRCC does not require six months of holding for the funds themselves, but does want to see balance stability rather than a sudden one-week deposit.

Whether a financial translation can be reused depends on whether the underlying document still satisfies the receiving authority's recency rules. The Certificate of Accuracy itself does not expire. The question is always about the source document, not the translation.

Documents you can reliably reuse include translated tax returns for closed tax years, audited financial statements for prior fiscal years, sale deeds, gift letters, employer letters confirming historical employment, and source-of-funds documentation. These describe a fixed past event and the same translation works across applications.

Documents that typically need fresh translations include bank statements (because the recency window resets each application), current employer letters (where UKVI expects a letter close to application date), and current pay stubs. When a fresh source document is issued, we re-translate at no extra cost for orders we originally completed, charging only for new pages added beyond the original scope.

Refusals on financial document evidence usually come from a small set of recurring patterns. Knowing these patterns helps applicants and sponsors avoid the most common avoidable refusals, especially under UKVI Appendix FM-SE which is the strictest of the major frameworks.

The most frequent causes, in order: an unstamped or self-printed bank statement submitted in place of an official one; a missing month creating a gap in the statement series; a payslip set whose net pay does not reconcile with bank deposits visible on the matching statements; an employer letter without letterhead or without a named senior signatory; cash savings that drop below threshold inside the six-month window; and translations that summarize line items rather than reproducing every transaction.

Our translations are structured to remove the translation-side errors. Every transaction line is rendered, every bank stamp is translated and located on the page, currency notations are clarified by note rather than by conversion, and the Certificate of Accuracy is signed, dated, and references the specific document by issuer and date range. Document-side errors (recency, format, completeness) have to be fixed at source before translation is ordered.
