Certified WES Translation

WES asks for translations that are exact and word-for-word. The phrase looks simple but it carries specific operational meaning. WES evaluators compare the translation directly with the source document, and the translation has to be matchable line-by-line, table-by-table, stamp-by-stamp.

In practical terms this means: every course title, grade, and credit value is rendered; every stamp, seal, signature, and handwritten annotation appears in English; the grading legend and any reverse-side text are translated; the layout mirrors the source so the evaluator can verify each entry against the original; and the translator does not summarize, paraphrase, or interpret the content. The translation also does not convert grades to a US 4.0 GPA. Grade conversion is the evaluator's job, not the translator's.

The line between literal translation and US-style localization matters here. A degree titled "Licenciatura en Derecho" is rendered as "Bachelor's Degree in Law" or "Licenciatura en Derecho (Bachelor's Degree in Law)" with the source preserved, not as "Juris Doctor." Course names follow the same rule: they are translated literally, with translator's notes only where a literal rendering loses meaning. The receiving evaluator interprets equivalence; we translate.

WES does not run a single global checklist. The Required Documents list inside your WES account is generated based on your country of education and the credentials you have entered. That list is the authoritative reference, and it tells you which documents need to be sent through the institutional sender route and which need translation.

Common patterns we see by country: Indian credentials typically require year-by-year mark sheets plus the consolidated provisional or final degree certificate, often via DigiLocker for newer cohorts; Chinese credentials are usually verified through CDGDC or CHESICC reports issued in English, with translations only required for older or non-portal records; Brazilian credentials request the Histórico Escolar plus the Diploma de Graduação; Mexican credentials request the Certificado de Estudios with Cedula Profesional; European credentials often follow the Diploma Supplement model where the institution provides English alongside the source language; African credentials often involve national exam-board certificates and university degree certificates in tandem.

Older transcripts, pre-digitization records, and credentials from institutions that have closed or changed names sometimes require additional documentation. Handwritten and pre-digital academic records remain common, particularly for graduates from older cohorts and from countries where universities digitized late. WES translates these under the same word-for-word standard as fully typed records, but legibility is the practical constraint.

Frequent sources of handwritten or older records in our WES work include older Indian state-university mark sheets and consolidated marks statements, mid-century European university transcripts, Latin American diploma certificates with calligraphic registrar entries, and African secondary-school certificates from before national exam boards moved to printed templates. Our translators include specialists in each of these handwriting traditions and academic systems.

For best results, scan at 300 DPI or higher in even lighting, with the full document visible to the edges. If specific entries cannot be confidently read, the translator marks them as illegible with a translator's note rather than guessing. Guessing at a handwritten entry is one of the fastest ways to a WES file hold, since evaluators routinely catch translation entries that do not match the visible source.

Age, poor storage, water damage, and handling wear all degrade transcript and diploma legibility over time. We translate what is clearly visible and mark genuinely unreadable portions with explanatory notes. The translator never guesses or fills in missing content, because WES verifies the translation against the source.

Before ordering translation, check whether a fresh certified copy is available from the issuing university or examination board. Most institutions can produce a duplicate transcript or replacement diploma, often the cleaner path for WES submissions where document integrity is closely reviewed. For Indian universities, DigiLocker has accelerated this for newer cohorts; for Chinese credentials, CDGDC and CHESICC issue verification reports that often replace the underlying source for WES purposes.

When translation from a damaged document is the only option, upload the clearest possible scan including all visible portions, edges, stamps, and grade-scale tables. If we cannot confidently produce a complete translation, we contact you before charging and discuss alternatives.

Two parallel paths run through every WES file: how the source document arrives, and how the translation arrives. They are different, and getting them mixed up is a common reason files stall.

The source-document path requires the original-language transcript or diploma to be sent to WES through an approved sender route. For most countries this is an institutional sender route: the issuing university or examination authority sends the document directly to WES, often in a sealed envelope or through a verified digital channel. India, China, the UAE, and a growing list of countries have specific WES partnerships and approved digital channels (DigiLocker, CDGDC, and others) that satisfy the sender requirement without a paper envelope. The exact route appears in your Required Documents list.

The translation path is different. Translations do not need to be sealed and they do not need to come from the institution. WES allows applicants to upload translations directly through their online account in the Upload Your Documents section of Account Timeline. Files must be in PDF or JPEG format. We deliver your translation as a PDF formatted for that upload step, so the translation route closes cleanly while you wait for the source-document route to complete.

A WES translation reproduces what the source document says. It does not convert grades to a US 4.0 GPA, recompute totals, or substitute course names with US equivalents. Grade conversion is the WES evaluator's job, not the translator's. Our translation includes the original grade scale exactly as it appears on the transcript so the evaluator can perform an accurate equivalence calculation.

This matters in practice because a translator who tries to be helpful by converting a 7-point Indian scale to a US 4.0 scale typically introduces errors. A "First Class with Distinction" earned at 75 percent in one Indian university does not equal a "First Class with Distinction" earned at 70 percent at another, and a US 4.0 scale equivalent depends on which interpretation method WES applies. Doing that math inside the translation locks in an answer the evaluator will then have to override.

Name spellings often differ across academic and personal documents. A name written in Devanagari, Arabic, Cyrillic, or Chinese script has no single correct English spelling, and different documents may transliterate the same name differently. We render names exactly as they appear in the source. If you want a preferred passport spelling noted, we add it as a translator's note rather than altering the rendered name in the body of the translation. Name drift between transcript, diploma, and passport is one of the more common causes of WES Clarification Required notices, so consistency across your full document set matters.

A WES-compliant certified translation can typically be reused across multiple destinations. Because WES applies a strict word-for-word standard with a Certificate of Accuracy, the same PDF you upload to your WES account also meets the requirements that USCIS, IRCC, US universities, and most state licensing boards apply to certified translations.

Common reuse paths we see every week: a Canadian Express Entry candidate orders a WES Canada ECA, then reuses the translation again later for an LMIA application or a provincial licensing review; an H-1B applicant uses the same WES translation already accepted by USCIS as supporting evidence in the petition; an internationally educated nurse reuses the translation across the WES nursing report, the state board of nursing, and the CGFNS file; a graduate-school applicant submits the translation to multiple universities without re-translating per institution.

Some practical exceptions apply. A small number of state licensing boards and specific scholarship bodies request a translation dated within a recent window. If a specific office asks for a recently dated translation, a fresh copy can be issued at no additional cost for any order we originally completed, and we keep your file on hand for the standard retention period so reissue is straightforward.

WES translation rejections follow predictable patterns. Files end up tagged On Hold, Missing Documents, or Clarification Required for technical reasons, not for the underlying education quality. Understanding what evaluators check helps applicants and consultants avoid avoidable delays.

The most frequent causes of WES translation holds, in approximate order of frequency: missing or summarized course tables in the translation; the back-page grading legend not scanned or not translated; collapsed table layouts that the evaluator cannot match against the source; grades converted to a US 4.0 GPA inside the translation; missing institutional seals, registrar signatures, or stamps that are visible on the original; name inconsistencies across the diploma, transcript, and the WES profile with no explanatory note; and an incomplete, unsigned, or undated Certificate of Accuracy.
