Translation Requirements at a Glance: How the Four Authorities Differ

All four authorities require certified translations of foreign-language documents. But their rules differ on who can translate, how the translator must identify themselves, and whether notarization is needed. The table below summarises the practical differences. The note underneath explains when a translation prepared for one authority will work for another, and when it won't.

A practical takeaway from the table: A translation prepared for one authority will not always work for another. The direction matters.

  • UKVI or IRCC → also accepted by USCIS and ECFMG. Both UKVI and IRCC require professional translators with full credentials, which meets or exceeds the minimum that USCIS and ECFMG require.
  • USCIS → often fails at UKVI, IRCC, and ECFMG. USCIS allows applicant self-certification; the other three authorities do not.
  • ECFMG → strictest standard. ECFMG specifically rejects applicant- or family-prepared translations, even when fluent. It also requires word-for-word matching with no summarisation, because the translation is reviewed alongside primary-source verification of the original credential.

See our refund and acceptance policy for full details.

IRCC has the most distinct rule. Translations prepared outside Canada must include a sworn affidavit. Ontario-stream applications need ATIO certification on top of that.

The safe approach when applying to more than one authority: order translations to the strictest standard you need, and the same files will satisfy the others. Pro Translation Service prepares every translation to professional standard with a signed Certificate of Accuracy that meets all four authorities' minimum requirements.
